Overview

Welcome! [COMPANY] Spaces is our approach to, and collection of, Employee Community Groups (ECGs). Employee Community Groups are led by members of our team, and typically identity or experience based group. [COMPANY] proudly sponsors these groups with financial resources and dedicated time so we can build an inclusive workspace.

Our hope is that ECGs will lend their collective voice to building a better company by providing input on company strategy, contributing to decision making, and raising community-based concerns. We also believe that ECGs can help provide employees opportunities for leadership and strategic skill development.

Employee Community Groups (ECGs)

Synopsis

Employee Community Groups (ECGs) are employee-founded and led groups built as a space for folks who share a common characteristic, identity or experience. These groups are founded for community, advocacy, and to cultivate inclusion. ECGs provide opportunities for networking, leadership, and professional development while aligning with [COMPANY]’s vision to build a diverse and inclusive workforce.

Each ECG will have a charter that’s complete with a mission and vision statement, a leadership structure, and semi-annual goals they work towards. Once an ECG has submitted an application, and it’s approved, they will be afforded an annual budget to assist with internal/external events and accomplishing goals.

Recognition and Membership

Any ECG that would like to be formally recognized will need to complete an application , and submit a charter. Applications for will be reviewed starting [DATE] and each quarter thereafter. When formulating an ECG, the following roles and approach to membership should be considered:

Leadership Structure

ECGs will have a designated leadership structure and point of contact roles. Roles may be coupled, separated or created depending on the size of the group.

Executive Sponsorship

Each ECG will be paired with a Team Lead who will serve as an Executive Sponsor. The Executive Sponsor is a direct connection to company leadership and should serve as an advocate for the ECG. Executive Sponsors are expected to act as a mentor for ECG leadership, make themselves available for events and act as a spokesperson in the community. An executive sponsor may or may not directly identify with the ECG, and may or may not be a member. ECG leadership must approve the Executive Sponsor pairing.

Membership

Each ECG will decide their own criteria for membership, and how they engage and interact with their members. As a best practice, [COMPANY] encourages ECGs to open a meeting once every 6 months to allies and the broader company as a way to promote inclusion.

Expectations

As a top priority, employee groups are expected to provide a space for inclusion and psychological safety for their members. Beyond that, we hope that each community holds 2 events per year. “Events” can be any organized advocacy activity that is open to people not a part of the ECG. For example, this may be educational talks internally, or hosting external networking events. We encourage ECGs to partner with internal orgs, or other ECGs, when planning events.
